    Responsibilities

    OBXtek is staffing for a Junior Program Officer (“Alumni Records Specialist”) to assist in the upkeep of an alumni database, maintain alumni records and specialized lists, and validate alumni registration on the International Exchange Alumni website (https://alumni.state.gov). 

     

    At the U.S. Department of State, the Office of Alumni Affairs, of the Bureau of Educational and Cultural Affairs, administers ongoing engagement to international exchange alumni in order to cultivate and extend the impact of exchange programs. The office collaborates with U.S. embassies and consulates abroad, as well as through virtual platforms, to leverage the expertise, energy, and enthusiasm that alumni have in support of shared goals.

     

    ECA is committed to providing resources to sustain engagement through support to U.S. Missions worldwide and outreach to over 1 million exchange alumni in the U.S. and abroad. ECA’s Office of Alumni Affairs strengthens USG alumni identity, expands networks that benefit both Americans and international participants, and supports U.S. foreign policy objectives by maintaining relationships with this large and diverse group of influential people with firsthand knowledge of the United States.

     

    Perform a wide variety of duties necessary to assist supporting programs and activities relating to exchange program alumni outreach and data management in coordination with ECA offices, regional bureaus, other bureau offices, program agencies, and posts.  Provide data analysis, records management, and research with regard to alumni participant records and data.  Maintain a close and highly responsive relationship with the day-to-day activities of the Office of Alumni Affairs.

    • Track, verify, and update prominent alumni records;
    • Respond to inquiries about individual or thematic alumni records, and compile reports;
    • Communicate with overseas and domestic users, and provide customer support as needed;
    • Upload bulk data templates into the Alumni Archive database;
    • Merge duplicate records in the Alumni Archive database;
    • Track Alumni Archive programs, years, and POCs;
    • Compare statistics from various sources and assist the Alumni Archive Database Manager with identifying data gaps and scheduling data requests;
    • Assist the Alumni Archive Database Manager with an annual review of Alumni Archive user accounts;
    • Update user accounts that have changed post of assignment or office;
    • Participate in user training sessions and customer support;
    • Monitor the auto-registration process for the International Exchange Alumni website;
    • Uses databases to compile mailing lists;
    • Other duties as assigned.

    Qualifications

    Must be a US Citizen with the ability to obtain and retain a security clearance at the Secret Level.

    • A Bachelor’s Degree is required for this position.
    • Ability to learn and work with extensive data and multiple database applications.
    • Demonstrated skills or knowledge of global internet access and research capabilities.
    • Facility with standard software, including the complete Microsoft Office Suite (Word, Excel, Access, PowerPoint, SharePoint), and an ability to learn and work with other software, and database applications.
    • Strong, timely and precise organizational skills and multi-tasking abilities.
    • Strong critical and creative thinking and analytical skills.
    • Strong written and oral communication skills.
    • Ability to interact with all nationalities in a culturally sensitive manner.
    • Excellent ability to build and maintain strong working relationships with colleagues.
    • Strong ability to work independently, with minimal supervision, and multi-task in a high volume, fast-pace work environment.
    • Strong ability to also have a flexible, team-oriented approach to work.
    • Exposure to international educational and cultural exchanges, or other types of international programming or activities.
    • Exposure to U.S. foreign affairs agencies and/or international organizations.
    • Foreign language skills are preferred but not required.
