    Responsibilities

    OBXtek is hiring for 1 Administrative Professional to support the Air Force Real Estate Transaction Division.

     

    The Air Force Real Estate Transaction Division (AFCEC/CIT) provides services and expertise for/in the Air Force real estate program and electronically processes these actions for coordination with various offices on its way to gaining a signature of approval or decision. CIT is considered the execution arm for Higher Headquarters (HHQ) established policy and as such implements installation level procedures to ensure the highest level of adherence to Air Force policy. CIT also has a large role in the audit that began in September 2018 that requires a high level of interaction with installations from year to year. CIT is a key stakeholder and sole executioner of the AF Accountability program providing guidance and expertise to installations and HHQ. All transactions, taskers and request for information are processed through the CIT Workflow program. The AFCEC/CIT mission also provides a comprehensive training program to installation Real Property Offices (RPO) that provides each installation with the knowledge and expertise needed to execute that installations real property program.

     

    The correct candidate will be involved with the following tasks:

     

    • Assist with providing administrative support to the management and tracking of all inbound and outbound tasks via Workflow.
    • Monitor the workflow inbox and utilize a predetermined list to accurately assign the appropriate AO.
    • Provide assistance by tracking actions from start to finish by utilizing reminders (in the form of Emails, SharePoint, and Reports).
    • Prepare a technical report that will consist of current tasks, delinquent tasks, and closed tasks. Approximately 75 actions per month, including:
    • Perform task management duties supporting all RPOs and AOs to provide status updates and communication. Provide document review of all transactions funneled through the Division workflow. Work with the Division workflow to manage and maintain accurate task information to allow open communication, effective and efficient task management throughout the Division.
    • Coordinate and consolidate Weekly Activity Reports (WAR) Inputs.
    • Ensure SharePoint information is up to date and includes any new information from the installations and AOs.
    • Consolidate and manage briefing slides.
    • Mail original copies of executed real estate documents to the installation.
    • Archive the fully coordinated Electronic Staff Summary Sheet (eSSS).
    • Schedule conference rooms and provide meeting call-in phone numbers.
    • Provide weekly task list, obtain updates on each task, and provide to leadership.
    • Provide administrative support for Training/Symposiums hosted/facilitated by AFCEC/CIT. Work will require organizational skills for developing agendas, study materials, invitations, record keeping, documenting attendees, organizing briefings, collecting feedback from the attendees etc. for approximately 20 to 400 attendees. AFCEC/CIT generally holds two events per year.
    • Design and produce visual media products to deliver technical presentations, provide agendas and meeting minutes for all technical tasks.
    • Provide properly qualified representatives with the technical expertise to attend and consult with AFCEC/CIT at meetings and participate in specialized program meetings and/or teleconferences in support of the Air Force Real Estate Program.
    • Be responsible for the presentation materials for meetings and will be responsible for the meeting minutes.

     

    Historically, meetings and technical support occurred approximately 48 times per year.

    Qualifications

    Bachelor's Degree

     

    2 years of administrative experience

     

    Ability to obtain an Air Force Public Trust determination
